A day with Kaylie
You know how the day goes without help. Here's the same day with a teammate who does the portals, the hold music and the EOBs — and hands you the parts that need a person.
- 6:30 am
Before you're in, today's schedule is already checked.
Kaylie logs into each carrier's portal and reads the benefits for every patient on today's schedule. Nobody starts the morning with fourteen tabs and a sticky note of passwords.
Kaylie reads the carrier's own portal.
The same screen your team would log into. Kaylie signs in, finds the patient and reads the benefits line by line — then writes them back to your practice software.
- Coverage for every procedure on the schedule
- Frequencies, waiting periods and the last date paid
- Where every answer came from, kept with the answer
- Your morning, checked
See tomorrow's schedule verified before you get in.
We'll run your own patients — not a demo account.
- 8:55 am
A patient asks what they'll owe. You already know.
Maria's at the counter asking about her crown. The answer isn't a phone call away. It's on the screen — per procedure, with her share worked out.
Kaylie blocks the denial before it happens.
Will insurance pay for this — for this patient, today? Frequency, waiting periods, age limits and the missing-tooth clause, checked for each procedure before anyone picks up a handpiece.
- Two weeks later
"Where's that claim?" Kaylie already looked.
Kaylie checks every open claim on the carrier's portal, so nobody on your team sits through hold music to ask where it is.
- When the EOB arrives
The EOB arrives. Kaylie checks every estimate against it.
Most software treats a paid claim as the end of the story. Kaylie treats it as the answer key: every line on the EOB is compared with what Kaylie told you before the visit. Where the plan paid differently, you see why — and Kaylie remembers it.
Every EOB is a lesson — and Kaylie learns from it.
A plan that pays a back-tooth composite at the amalgam rate rarely says so up front. Most offices find out from the first write-off. Kaylie finds out from the first EOB — and keeps it, for that carrier and that employer group.
95out of every 100 paid lines, the carrier pays at the percentage Kaylie verified.
Kaylie says the crown is covered at 50%, and the carrier pays at 50%. That is 95.2% of 40,875 paid procedure lines — every office on Kaylie, dates of service in the last 90 days, measured 22 September 2026. Lines the carrier paid nothing on are not in this figure; they are in the covered-or-not number beside it.

Every line on the EOB is matched to the verification that priced the visit, then checked four ways.
- Matchedto the verification
- Covered?yes or no
- Fee?the allowed amount
- Percentage?the rate paid
- Dollarswithin $5
A line that can't be checked is listed with the reason — never quietly left out.

Four questions to ask anyone who verifies insurance — us included.
- Measured against what?
- Out of how many lines?
- How many were left out?
- Can I see an EOB you learned from?
- See it on your own plans
Bring five plans your team argues about.
We'll verify them in front of you and show you where every answer came from.
- When a claim is denied
A claim is denied. The next step is already on the card.
Appeal it, resubmit it, bill another plan, or write it off. Kaylie reads the denial, suggests the step, and fetches what that step needs. Your team makes the call.
Kaylie suggests and attaches. Nothing is appealed, resubmitted or written off without a person.
- SoonComing soon
When the deposit lands — bank reconciliation.
Match every deposit to the EOBs and claims it pays, and see what hasn't arrived. The last stretch of the day: from the carrier's payment to your bank statement.
You're still the boss.
Kaylie doesn't replace your team. Kaylie takes the part of the job nobody wants — the portals, the status checks, the reading — and hands your people the decisions, with the evidence attached.
Pink-to-purple outline — Kaylie did it.
Verified, checked, read, compared. Your team always knows what a person has and hasn't looked at.
Solid purple button — that's your call.
Appeal, resubmit, bill the patient, write off. Decisions are always a person's.
Built so a team of two can do the work of ten.
Not a billing service.
Ask Kaylie about the carrier that wastes your mornings.
No slides. Your office, your plans, your schedule.
Every EOB makes Kaylie a little smarter.
What Kaylie learns is tied to the plan — the carrier and the employer group — not to your office. So if another practice has already had a claim settle on that plan, your first patient on it starts with what that taught.
- 01VerifyThe carrier's portal, EDI, plan documents and your team's notes.
- 02EstimateWhat insurance pays, and what the patient pays.
- 03Track the claimChecked on the carrier's portal until it settles.
- 04Read the EOBAllowed, paid, and the reason on every denial.
- 05CompareEvery line against the estimate. A difference is named.
- 06LearnA difference that holds becomes a lesson for that plan.
How we know
Live since 4 September 2026, and deliberately careful: a lesson only fills what the verification left blank, so an answer the portal stated is never overwritten by a guess. An EOB records what happened, never what was allowed — a deductible never seen charged stays unknown rather than being recorded as waived.
